    2 weeks before the event: Marketing flyers, registration links, and event logistics are shared
    1 week before the event: Updated registration reports and shipping info are provided
    Day of event: Staff are coordinated to arrive on time and act as onsite support
    1 week after the event: Follow-up begins with feedback collection and next steps
    Quarterly meetings: Regular check-ins ensure continued program evolution and success
